Most exhibition organisers underbuy media. They book a photographer for the day, get a gallery back two weeks later, and wonder why their social channels went quiet during the show. The problem is not the photographer — it is the brief. Here is every deliverable worth commissioning, when it is needed, and what to demand.

01The Two Clients at Every Exhibition

Confusing them is the root cause of most poorly briefed shoots.

  • Organisers need show atmosphere, crowd density, keynote coverage, sponsor activations, press images, a post-show film and next-year prospectus shots
  • Exhibitors need booth photography, product displays, team portraits, visitor interaction and same-day social
  • Both need content the same day — for different purposes and different audiences

02Deliverables for Organisers

1. Official show photography

The complete record: venue establishing shots (including the empty hall before doors open), crowd shots at peak, keynote and panel coverage, networking zones, sponsor activations. Aim for 300–600 edited images across a two-day show. Shoot RAW; deliver JPEGs at web (2000px long edge, under 2MB) and print (full resolution) sizes.

2. Post-show highlight reel — 2 to 3 minutes

Your most powerful asset for next year's edition, and what goes into the prospectus deck and website hero. Budget for a proper edit: venue montage, exhibitor and visitor b-roll, speaker quotes, crowd energy, closing card with next year's dates. Deliver 16:9 at 1080p minimum, plus a 9:16 vertical cut.

3. Same-day social clips — 15 to 60 seconds

The most underused deliverable in exhibition media. A 30-second clip posted at 7pm on Day 1 drives Day 2 foot traffic in a way no email matches. Edited, graded, captioned and exported during the show. Plan one per day, plus an opening-day clip.

4. Sponsor deliverables

If your packages promise coverage of sponsor activations, brief these shots explicitly: logo placement at the venue, the activation in action, the sponsor team on site. Deliver 20–40 edited images per main sponsor with digital rights. Miss this and you compromise renewals.

5. Next-year prospectus images

The images that sell next year are rarely the ones taken casually during the show. A wide angle of a packed floor at peak, a delegate receiving an award, a speaker commanding a full auditorium — these need deliberate planning and specific timing. Put them in the brief.

6. Press-ready images

Trade press need full-resolution files with embedded metadata — caption, copyright, location, date. Deliver a pack of 20–30 selected images within 24 hours of closing, captions pre-written. This is often the difference between a double-page spread and a single-line mention.

03Deliverables for Exhibitors

  • Booth photography: wide establishing shot, product close-ups, team portrait, signage. Typically 40–80 images
  • Visitor interaction: candid conversations, demonstrations, lead capture — your most persuasive post-show assets
  • Same-day social: 3–5 images edited within 2 hours, ready to post during the show day
  • Video testimonials: 60-second clips in a quiet area near the booth; three to five a day is achievable
  • Team photos, formal and informal, for internal comms and LinkedIn

A strong brief takes 30 minutes to write and saves hours on site. Include the schedule with exact keynote timings, a floor plan with sponsor locations marked, a VIP list with photos so the team can identify people on the floor, the social handles of sponsors you want tagged, and the specific shots that must appear in the highlight reel.
