Standard delivery is 5–7 days for photography and 2–4 weeks for video. By then your trade show is a distant memory on LinkedIn, the conversations have moved on, and the momentum from the floor has evaporated. The exhibitors who posted during the show are the ones who generated leads from it.
01Why Same-Day Wins
LinkedIn rewards content posted while the topic is trending. During a major show the hashtags are live, your industry is on the platform, and organic reach for on-the-ground content peaks. A 30-second reel posted on Day 1 evening reaches people who are still at the show, still deciding who to visit on Day 2.
- Day 1 evening content drives Day 2 foot traffic to your booth
- Real-time posts signal that you are present and active at the show
- Organisers posting daily highlights see higher Day 2 and Day 3 attendance
- Time-sensitive, location-tagged content earns 3–5× more organic reach
- A post two weeks later competes with zero context — the moment is gone
02What Same-Day Actually Means
Not unedited files at the end of the day. Professionally edited, colour-graded, music-backed, captioned content ready to upload directly — delivered by an agreed time, usually 6pm on each day of the show.
| Deliverable | Format | Duration | By |
|---|---|---|---|
| Daily highlight reel | 16:9 MP4 1080p | 60–90 seconds | 6pm each day |
| Vertical social cut | 9:16 MP4 1080p | 30–60 seconds | 6pm each day |
| Same-day photo selects | JPG, web resolution | 15–30 images | 4pm each day |
| Story-format clips | 9:16 MP4 | 10–15 seconds each | 6pm each day |
03The Workflow
Morning: shoot to a priority list
The day starts with the shot list agreed the evening before, in priority order: keynote, booth atmosphere, product heroes, networking, crowd density. The camera team knows what must be captured before anything else.
Afternoon: edit during the show
While the show is still running, footage is reviewed, selects made, the rough cut assembled. A pre-set LUT applies the grade in one click. Licensed music and captions are laid in.
By 6pm: deliver
Files upload to a shared folder and a link goes to the client's social manager, who reviews, approves and posts that evening — catching professionals checking LinkedIn at the end of the show day.
04The Kit That Makes It Possible
- Wireless card readers — footage transfers without pulling the card mid-shoot
- Field laptops with dedicated GPU — exports in minutes, not hours
- A pre-established LUT, so no grading from scratch
- A licensed music library downloaded in advance, so no rights clearance on site
- 5G hotspot — uploads happen at the venue, whatever the venue WiFi is doing
- Saved export presets for LinkedIn, Reels and Shorts
05What to Prepare Beforehand
- 1Name one on-site media liaison who approves the shot list and the rough cut. One person, not a committee
- 2Set up the shared delivery folder before the show, permissions granted and tested
- 3Agree music style and caption format in the pre-event call
- 4Pre-write the caption, so the post is not stuck in a two-hour approval loop
- 5Identify the three hero moments the reel must contain, as non-negotiables on the shot list
By the time a standard gallery lands, the show is over and the audience has moved on. Same-day is not a faster version of the deliverable — it is a different deliverable.
